Job Description

  • The candidate will be responsible for providing design administration and coordination services by gathering and reviewing design project information, uploading and maintaining work order task packages required to facilitate the installation of residential, commercial and industrial services and associated distribution work, maintaining, reviewing, tracking and updating design project data such as task level and work order in-service and material need dates, work allocation and milestone dates for accuracy, generating and distributing reports as required, and initiating project completion activities such as archiving project documentation based on established processes and relevant Distribution Instructions.
  • The candidate will be responsible for coordinating and liaising with design project stakeholders for enquiries related to design or service requirements for residential, commercial and industrial services and associated distribution work, policies and procedures, costs and rates and non-energy billing accounts, including processing requests for permits, house moves, right-of-way easements and property referrals.
  • The candidate will be responsible for processing updates and revisions in applicable Design, GIS and Work Management systems/applications under the direction of the Designer, and processing revision requests to drawings as requested by municipalities, agencies and other utilities.
  • The candidate will be responsible for submitting and tracking requests for underground utility information to BC 1 Call and/or other local utilities or municipalities for design planning purposes, and following-up on incomplete requests as required.
  • The candidate will be required to coordinate electrical safety requests with customers and trades workers using established processes by managing the request lifecycle, gathering information, arranging site visits with a Power System Owner’s Representative (field subject matter expert), forwarding estimate requirements to a Designer, preparing and providing preliminary requirements, generating invoices, issuing and monitoring work packages, tracking renewal/removal notifications, submitting documentation to WorkSafe, and maintaining records.
  • The candidate will be responsible for facilitating the payment and refund process by working with Distribution Design Customer Connections (DDCC) staff to identify non-energy billing payment actions to submit to Finance/Sundry Billing, following-up on overdue vendor invoices with DDCC staff, acting as a point of contact to resolve payment issues, and preparing journal vouchers to correct coding on invoices for projects, work orders and monthly accruals.
  • The candidate may perform preliminary project assessment to determine applicable forms and documentation to be submitted and design deposit amounts to be collected for design projects based on established processes and/or under the direction of the Designer or Design Work Leader, liaise with internal and external stakeholders to communicate or clarify identified project pre-requisites, and forward project requests to appropriate Design resources for action.
  • The candidate will be required to conduct field checks to gather and verify data under the direction of the Designer or Design Work Leader to support simple estimates and/or GIS updates.
  • The candidate will be responsible for providing administrative support on procurement-related activities such as preparing purchase requisitions for materials and/or services, monitoring the workflow status of submitted purchase requisitions, and checking invoices to ensure the correct accounting codes have been applied.
  • The candidate will be responsible for performing duties of a minor nature related to the above duties that do not affect the rating of the job.

Job Requirements

  • The candidate must have completed high school, including Math 11 and English 12.
  • The candidate must have at least one (1) year of experience in an administrative or customer service role.
  • The candidate must be proficient in Microsoft Office and general computer applications.
  • The candidate may be required to hold a valid Class 5 Driver’s License.
