Job Description

  • The candidate will provide administrative support to the Chief Supply Chain Officer, maintaining a high level of confidentiality, discretion, and professionalism.
  • The candidate will be responsible for managing calendars, emails, and electronic filing systems, including scheduling meetings and coordinating conference calls.
  • The candidate will manage incoming correspondence and requests, ensuring items are tracked, prioritized, and addressed promptly.
  • The candidate will maintain a tracking system for deadlines, follow-ups, and action items.
  • The candidate will prepare meeting materials, including agendas, background documents, and presentation packages.
  • The candidate will track and communicate deadlines and action items as directed.
  • The candidate will prepare correspondence, presentations, and documentation packages.
  • The candidate will coordinate meetings by scheduling, booking rooms, arranging presenters, and recording and distributing meeting minutes.
  • The candidate will support internal communication within the Supply Chain team by preparing agendas, minutes, presentations, and routine correspondence.
  • The candidate will maintain organizational charts, contact lists, and distribution lists.
  • The candidate will establish and maintain professional relationships with team members and internal stakeholders.
  • The candidate will handle confidential information with care and professionalism.
  • The candidate will assist with onboarding processes, employee documentation, and recruitment-related administrative tasks.
  • The candidate will coordinate team meetings, employee engagement initiatives, and town hall events.
  • The candidate will process financial transactions such as invoices, purchase orders, and expense claims, and manage office supply orders.
  • The candidate will track mandatory training completion and support compliance reporting.
  • The candidate will follow established administrative procedures and identify opportunities for process improvements.
  • The candidate will assist with travel arrangements and other administrative assignments as required.

Job Requirements

  • The candidate must have post-secondary education or an equivalent combination of education, training, and experience.
  • The candidate must have two (2) to four (4) years of administrative or office experience in a corporate or professional environment.
  • The candidate must have experience handling confidential information.
  • The candidate must have experience supporting managers or teams within a structured organization.
  • The candidate must be capable of working both independently and collaboratively within a team environment.
  • The candidate must demonstrate strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • The candidate must have the ability to meet deadlines and adapt to changing priorities.
  • The candidate must have working knowledge of Microsoft Word, Excel, and PowerPoint, with familiarity in SAP or PeopleSoft considered an asset.
  • The candidate should have a basic understanding of financial administrative processes.
  • The candidate must possess strong communication skills and the ability to interact professionally.
  • Knowledge of BC Hydro’s business processes and systems will be considered an asset.
  • The candidate should be a reliable team player with strong time management skills.
  • Experience with SharePoint and/or FileNet will be considered an asset.
