Job Description

  • The candidate will be responsible for responding to general inquiries from staff, clients, partners, and stakeholders over the telephone or at the counter and directing them to appropriate staff.
  • The candidate will provide administrative support including correspondence, minutes, forms, reports, and briefing packages.
  • The candidate will coordinate travel arrangements and oversee the booking of conference rooms for staff.
  • The candidate will assist with office duties including processing program forms, updating documents, records management, and mail functions.
  • The candidate will assist with tracking basic financial transactions including invoices and travel expenses.
  • The candidate will be responsible for assisting with routine data input and reporting tasks.
  • The candidate will monitor communication systems for local field staff and provide logistical support.
  • The candidate will assist with information gathering for contracts as required.
  • The candidate will be required to participate in facilities maintenance as needed.
  • The candidate must coordinate maintenance and repair services for office equipment.
  • The candidate will be responsible for requisitioning stationery and office supplies and processing the corresponding paperwork.
  • The candidate will assist with organizing fire preparedness needs and liaising with fire personnel and equipment operators as required.
  • The candidate will assist with staffing documentation and orientation in accordance with branch procedures.
  • The candidate will support BCWS culture initiatives in health, safety, and engagement by modelling professional behaviour that promotes respect, inclusiveness, and communication.
  • The candidate must be able to operate within the Incident Command System when required.

Job Requirements

  • The candidate will be required to possess Grade 12 graduation or an equivalent qualification.
  • The candidate must have experience working in an office setting.
  • The candidate must be flexible regarding ongoing changes in responsibilities, assignments, and corporate structures.
  • The candidate must keep current on emerging issues.
  • The candidate must take in-house training and certification as required.
  • The candidate must possess a valid Class 5 Driver’s Licence.
  • The candidate must be located in British Columbia at the time of employment.

Security and safety

  • The candidate must successfully complete security screening requirements of the BC Public Service, which may include a criminal records check, Criminal Records Review Act (CRRA) check, and/or enhanced security screening as required by the ministry.

Work conditions

  • The candidate must be willing to fly in aircraft, including fixed-wing and rotary aircraft, as required.
  • The candidate must be willing to work extended hours, including weekends, and be on standby with limited notice in accordance with the preparedness plan.
  • The candidate must be willing to travel and/or stay overnight in remote locations where accommodations may vary as required.
  • The candidate must be willing to participate in Incident Command System positions as assigned.
  • The candidate must be able to work under adverse or stressful conditions, including smoke, extreme heat, and mountainous terrain in remote and isolated areas.
