Job Description
- The candidate must coordinate the Executive’s calendar and contacts, according to allowed authority.
- The candidate will establish work priorities and direct assignment of work to various department staff according to scope of allowed authority.
- The candidate will coordinate the Executive’s calendar and send meeting invitations and agendas to attendees, book meeting rooms, and arrange tech resources and refreshments to support efficient meeting facilitation.
- The candidate will maintain confidential information for the business, team, and leadership and ensure it is handled appropriately.
- The candidate will coordinate multi-leg travel, often requiring continuous changes and rescheduling, in conjunction with a team of Executive Assistants and according to the most senior Executive travel plan.
- The candidate will be required to manage Executive’s expense report submission in compliance with policy.
- The candidate must oversee the approval of department expenses, including review of employee expense claims for accuracy and adherence to policy on behalf of the Executive.
- The candidate must act as a communications liaison with the department as required.
- The candidate will respond to inquiries or refer them to the appropriate partner.
- The candidate will prepare briefing notes and minutes of meetings as required.
- The candidate will provide executives with documentation needed for meetings and correspondence with the business.
- The candidate will delegate and follow up on action items within the scope of responsibility.
- The candidate will support space planning needs for department growth.
- The candidate will support special projects as assigned by the Executive.
- The candidate will handle onboarding ownership of incoming Executive direct report team members with P&C.
Job Requirements
- The candidate must have 3+ years’ experience or equivalent in an administrative and/or executive support level capacity with increasing responsibilities.
- The candidate must have excellent business acumen and the ability to exercise sound judgment and prioritization.
- The candidate must be able to observe and maintain the utmost confidentiality.
- The candidate must be able to work in a fast-paced environment.
- The candidate must have experience working with a publicly traded company.
- The candidate must have advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint.
