Job Description
- The candidate will be responsible for providing in-person and over-the-phone reception services for the division, including answering routine inquiries, providing general information to the public about divisional programs, policies, and work activities, assessing call priorities, directing inquiries to the appropriate section, and documenting service calls.
- The candidate will be responsible for creating, updating, and closing Tempest Calls For Service logs, forwarding complaints and service requests to the appropriate Section in a timely manner, initiating related work orders, and preparing reports on outstanding CFS for section review.
- The candidate will be responsible for printing, scanning, and reading/interpreting GIS Maps and Service Plates for internal and external customers.
- The candidate will be responsible for assisting with the maintenance of divisional email boxes, responding to inquiries, and forwarding emails as required.
- The candidate will be responsible for contacting intergovernmental agencies, non-governmental agencies, and other internal and external contacts.
- The candidate will be responsible for performing clerical duties, including taking and transcribing minutes, completing data entry, and preparing articles, forms, letters, routine correspondence, memoranda, reports, tabulations, and other materials from rough drafts and previously prepared data.
- The candidate will be responsible for conducting research, compiling statistics, initiating and reconciling month-end reports, and organizing and maintaining divisional filing, records management, and bring-forward systems.
- The candidate will be responsible for conducting research, running reports in enterprise software, and compiling information for requests, including FOI requests and Risk Management requests.
- The candidate will be responsible for providing Section-specific clerical support, including photocopying and scanning, distributing correspondence, tracking absences, syncing laptops, updating schedules, maintaining policy and procedure manuals, contacting crews, supporting SCADA monitoring special programs, creating purchase orders, preparing transfer vouchers, and ordering materials, supplies, and technical services.
- The candidate will be responsible for coordinating the assignment of contractors, hired equipment, and Call-List employees on behalf of Public Works sections in accordance with contract documents, operational practices, and the collective agreement while maintaining related records.
- The candidate will be responsible for conducting safety-related man-checks.
- The candidate will be responsible for processing and entering requisitions, invoices, delivery slips, receipts, payroll documents, and other related records as required.
- The candidate will be responsible for providing first aid coverage, administering first aid treatment, maintaining treatment records, and assisting with the upkeep of first aid rooms, supplies, and equipment to required standards.
- The candidate will be responsible for providing customer service and clerical support to sections during emergency situations, including after-hours support as required.
- The candidate will be responsible for performing other related duties as required to support operational needs.
Job Requirements
- The candidate must have Grade 12 education plus one year of post-secondary education in office administration, business administration, or a related discipline.
- The candidate must have one year of experience working in a business or municipal office environment, including customer service experience.
- The candidate must possess Occupational First Aid Level 2 certification as required.
- The candidate must have considerable experience or training in standard computer applications, including word processing, spreadsheets, financial software packages, databases, and tables.
- The candidate will be considered if they possess an equivalent combination of education and relevant experience.
