We are seeking a self-disciplined individual with exceptional interpersonal skills. The chosen applicant will be required to join and begin their duties as soon as possible. This is a 12-month term position.

Job Description

Benefit and Pension Administration:

  • The candidate will be responsible for providing guidance and information to management and staff regarding benefits and conducting benefit orientation sessions.
  • The candidate will be responsible for verifying benefit eligibility dates and maintaining and updating employee benefit records in third-party system(s).
  • The candidate will be responsible for distributing benefit cards, overage dependent forms, benefit enrollment and change forms, and responding to benefits and wellness email accounts.
  • The candidate will be responsible for updating employee pension records with the Municipal Pension Plan, including enrolments, terminations, LTD start and stop forms, purchase of service, and related updates.

Human Resource Information System:

  • The candidate will be responsible for generating and distributing various employment-related reports.
  • The candidate will be responsible for tracking probation periods, trials, competencies, and corporate training activities.
  • The candidate will be responsible for updating new employee hire information, address changes, T4 emails, emergency contact details, and other employee records.
  • The candidate will be responsible for processing bi-weekly benefit billing and deduction files for third-party submission and payment.

Disability Management:

  • The candidate will be responsible for administering and recording disability deposits submitted to Finance.
  • The candidate will be responsible for preparing earnings and wage loss reports.
  • The candidate will be responsible for preparing reconciliation reports required for claims closure.
  • The candidate will be responsible for completing and uploading required documentation to the WorkSafe portal.

Office Administration:

  • The candidate will be responsible for providing administrative support to Human Resources management staff and the Compensation & Benefits team.
  • The candidate will be responsible for coordinating and liaising on various Human Resources programs, processes, and initiatives.
  • The candidate will be responsible for maintaining filing and document management duties, including general and medical files, union performance reviews, photocopying, and related tasks.
  • The candidate will be responsible for assisting the front office and providing reception services during staff breaks.

Job Requirements

  • The candidate must have a certificate-level post-secondary education in a related field, with an emphasis on human resources, HRIS, business, and/or finance.
  • The candidate must have computer experience using Excel, Word, PowerPoint, and HRIS, with knowledge of benefits systems considered an asset.
  • The candidate must have knowledge of computer applications relevant to the position.
  • The candidate must demonstrate strong organizational and administrative skills to effectively manage assigned responsibilities.
  • The candidate will be required to deliver excellent customer service while addressing customer needs effectively and efficiently.
  • The candidate must demonstrate strong verbal and written communication skills to effectively convey information.
  • The candidate must demonstrate strong interpersonal and time management skills to effectively manage responsibilities and build positive working relationships.
  • The candidate must demonstrate accuracy and strong attention to detail when completing assigned responsibilities.
  • The candidate must demonstrate strong technical aptitude and the ability to understand and apply technical concepts effectively.
