Job Description
- The candidate will perform pre-court duties, including opening and preparing the courtroom, testing and setting up courtroom technology, pulling and preparing files, and obtaining exhibits for court.
- The candidate will perform in-court duties, including confirming and recording the attendance of all parties, confirming time estimates, prioritizing court lists, calling cases, and operating courtroom equipment and digital technology.
- The candidate will monitor court proceedings, ensure audio standards are met, and enter accurate information into computer systems in compliance with branch standards.
- The candidate will be responsible for conducting post-court duties, including checking files for completeness, ordering transcripts and interpreters, preparing invoices for hearing day fees, advising relevant parties of file status, returning exhibits, and tidying, restocking, and securing the courtroom.
- The candidate will operate and maintain case tracking systems to record results, schedule appearances, complete data entry, and produce documents.
- The candidate will be responsible for preparing and cancelling documents, updating case tracking systems with results, and distributing documents to court parties and users.
- The candidate will identify and determine access level designations to ensure compliance with disclosure legislation, including publication and disclosure bans.
- The candidate will identify, produce, and distribute operational reports.
- The candidate will be responsible for delivering informational services regarding filings, policies, and procedures to the public, crown, sheriffs, police, corrections, judiciary, defence, and other court users through in-person, telephone, mail, and electronic communication, while ensuring applicable fees are processed.
- The candidate will perform routine clerical duties, including taking and swearing affidavits, filing, photocopying, faxing, and operating office equipment.
- The candidate will complete the transfer of files to and from other locations.
- The candidate will be responsible for providing training, mentorship, and support to registry staff and court clerks.
- The candidate will perform accounting services, including reconciliation, receiving and processing revenue and trust monies, cash balancing, preparing deposits, and issuing and maintaining a float. The candidate will be accountable for Petty Cash, Witness Accounts, and Accounting accountable advances.
- The candidate will be responsible for ordering, receiving, and verifying transcripts.
- The candidate will be responsible for booking and confirming interpreters.
- The candidate will be accountable for the receiving, safekeeping, securing, storage, tracking, transporting, and disposal of all exhibits.
- The candidate must be able to work effectively under pressure and deal with unhappy or volatile clients.
- The candidate must demonstrate the ability to adapt to new technologies, procedures, and processes and respond appropriately to changing workplace conditions.
Job Requirements
- The candidate will be required to hold a secondary school diploma or an equivalent GED qualification.
- The candidate must have a minimum of 2 years of experience working in an office environment.
- The candidate must have a minimum of 2 years of combined customer service, clerical, office experience, and education.
- The candidate must have a minimum of one (1) year of experience in keyboarding, data entry, word processing, and the use of standard computer applications and software programs, including Windows, MS Word, Excel, and Outlook.
- The candidate must demonstrate a minimum keyboarding/typing speed of 40 words per minute (WPM).
- Preference may be given to applicants with experience using court programs and applications, including JUSTIN, CEIS, ARC, CTAS, and CCD.
- Preference may be given to applicants with experience delivering customer service.
- Preference may be given to applicants with experience as a court clerk and/or registry clerk.
- Preference may be given to applicants with a minimum of one (1) year of work experience in a legal environment.
- The candidate must be located in British Columbia at the time of employment.
