Job Description

  • Administrative Assistant role supporting office operations and staff needs
  • Works in a structured office setting with occasional travel required
  • Handles a mix of admin, finance tracking and HR-related documentation
  • Supports multiple teams and may guide junior admin staff
  • Full-time position with standard office hours
  • Involves data systems, reporting and internal coordination

Responsibilities

  • Provide daily admin and operational support to employees
  • Coordinate and guide new admin assistants in the team
  • Check and review data entries like expenses and timesheets
  • Enter and manage data in ERP systems for budgets and contracts
  • Track budgets for agreements and training activities
  • Process payments and vendor invoices with correct coding
  • Prepare year-end financial files and archive records
  • Take meeting notes and prepare minutes
  • Create purchase orders for supplies and services
  • Perform receptionist duties when needed

Requirements

  • A college diploma in business, office administration or a related field is required.
  • At least three years of relevant experience or an equivalent combination is needed.
  • Knowledge of administrative practices and basic accounting is expected.
  • Intermediate skills in MS Office and managing records.
  • Can handle multiple tasks and meet deadlines is necessary.
  • A Secret security clearance.
