Job Description

  • The candidate will be responsible for searching management information systems, including CORNET, JUSTIN, and ICM, to review clientsโ€™ previous and current ministry involvement and update the electronic database.
  • The candidate will be responsible for transcribing information from Dictaphone recordings, handwritten notes, and edited copies, and keyboarding content to prepare a variety of documents while proofreading materials and correcting errors, including correspondence, minutes, forms, reports, court documents, statistical tables, chronological records, spreadsheets, and presentations.
  • The candidate will be responsible for searching materials related to complaint policies and procedures, government public services, and referrals to the appropriate program area.
  • The candidate will be responsible for providing general information to families regarding procedures under various legislation, including ministry policies that flow through legislation.
  • The candidate will be responsible for receiving anxious clients and responding to non-mandated calls as required.
  • The candidate will be responsible for taking photographs for record purposes at the direction of professional staff, including client identification photographs for file attachment.
  • The candidate will be responsible for completing and compiling court and case management documents at the direction of professional staff or independently for approval and signature.
  • The candidate will be responsible for reviewing incoming and outgoing correspondence and screening items requiring further action.
  • The candidate will be responsible for serving routine court documents at the direction of professional staff by handing documents directly to individuals on the premises.
  • The candidate will be responsible for explaining the court process to children, youth, and families.
  • The candidate will be responsible for assisting with Public Trustee requirements.
  • The candidate will be responsible for processing a variety of documents and contracts.
  • The candidate will be responsible for receiving checks and tracking basic financial transactions, including contracts, invoices, budget spreadsheets, and personnel documents.
  • The candidate will be responsible for providing financial support by monitoring expenditures, coding and processing business expense forms and invoices, reconciling purchase card expenditures, administering the petty cash account, and checking the accuracy and completeness of financial documentation, including contracts, invoices, travel cards, and YPO/client travel records.
  • The candidate will be responsible for ensuring referral documentation is completed, printed, and forwarded to the appropriate resource while retaining a file copy when a child or youth comes into care or changes resources.
  • The candidate will be responsible for receiving incoming calls and visitors, reviewing incoming and outgoing correspondence, responding to routine inquiries, and directing matters to appropriate staff.
  • The candidate will be responsible for responding to case-specific telephone calls at the direction of professional staff or during their absence from the office.
  • The candidate will be responsible for verifying identification before releasing bus passes, tickets, and purchase authorizations, ensuring appropriate signatures, voiding documents when necessary, monitoring distribution, and notifying appropriate staff when items are not collected.
  • The candidate will be responsible for carrying out records management duties, including creating, filing, retrieving files, and preparing records for offsite storage.
  • The candidate will be responsible for setting up and maintaining the ARCS/ORCS records management system and ensuring the proper storage, retrieval, and disposal of business unit records.
  • The candidate will be responsible for making travel arrangements and appointments for staff and booking meetings and conference rooms.
  • The candidate will coordinate with ministries and agencies to facilitate service delivery and address issues.
  • The candidate will be responsible for notifying appropriate staff of emergency situations.
  • The candidate will be responsible for assisting with the training of administrative staff.
  • The candidate will be responsible for providing general administrative and clerical support to the office as required.

Job Requirements

  • The candidate must possess a certificate or relevant coursework and at least 6 months of related experience.
  • The candidate must have Secondary School graduation (Dogwood, GED) and at least 6 months of related experience.
  • The candidate must possess Evergreen and at least 1 year of related experience.
  • The candidate will be considered if they possess an equivalent combination of education and experience.
  • The candidate must have experience working in a computerized environment using various computer applications and databases, including Microsoft Office applications such as Word, Excel, Outlook, and Lync for word processing, spreadsheets, data entry, email, video teleconferencing, and case management or other database applications.
  • The candidate must have experience providing quality customer or client service while carrying out duties and responding to client needs in a professional manner.
  • The candidate must have experience working independently and as a team member in a multi-disciplinary environment with professional staff, clients, and service providers.
  • Preference may be given to candidates with administrative experience working with vulnerable children and families in a human/social services setting.
  • Preference may be given to candidates with experience using MCFD applications, including CORNET, JUSTIN, Integrated Case Management (ICM), and/or Management Information Systems (MIS) computer applications.
  • Preference may be given to candidates with one (1) year or more of experience working with CORNET and/or those who hold a CORNET license.
  • Preference may be given to candidates with experience working with youth probation officers and providing direct client service to these individuals.
  • The candidate must be located in British Columbia at the time of employment.
