Job Description

  • The candidate will be responsible for receiving incoming calls, identifying the nature of calls, taking messages, and directing calls to appropriate staff.
  • The candidate will be responsible for responding to general enquiries regarding the work unit and providing information such as brochures, packages, forms, or applications.
  • The candidate will be responsible for making travel arrangements and appointments for staff and booking meetings and conference rooms.
  • The candidate will be responsible for carrying out records management duties such as making, filing, and retrieving files, and preparing files for offsite storage.
  • The candidate must prepare and produce documents including correspondence, reports, forms, spreadsheets, meeting minutes, and presentations.
  • The candidate will be responsible for proofreading documents and correcting errors.
  • The candidate will be responsible for entering data into computer systems accurately and efficiently.
  • The candidate will be responsible for processing program-related forms in accordance with established procedures.
  • The candidate will be responsible for sending, receiving, and forwarding messages by electronic mail.
  • The candidate will be responsible for receiving, checking, and tracking basic financial transactions such as invoices and travel expenses.
  • The selected candidate will be required to prepare copies of information packages and handle fax communications.
  • The candidate will be responsible for updating and/or assembling manuals.
  • The candidate will be responsible for arranging maintenance and repair services for photocopiers and maintaining paper stock levels.
  • The candidate must order office supplies and complete the required documentation and paperwork.
  • The candidate will be responsible for opening, date stamping, and distributing incoming mail and preparing outgoing mail.
  • The candidate will be required to participate operationally in the Provincial Emergency Coordination Centre and/or the Provincial Regional Operations Centre during active emergencies as required.
  • The candidate will be responsible for providing coverage and support to the Regional Office Administrator as required.

Job Requirements

  • The candidate must have completed secondary school graduation or possess an equivalent qualification.
  • The candidate must have a minimum of six (6) months’ experience working in an office setting, including the operation of office equipment.
  • The candidate must have six (6) months’ experience and/or training in standard computer applications, specifically MS Word, Outlook, and Excel.
  • Candidates who have completed post-secondary training in office administration, business, secretarial or other related courses may be preferred.
  • Applicants with experience maintaining and tracking financial or program-related information may be preferred.
  • Candidates with previous experience coordinating travel arrangements may be preferred.
  • Applicants with experience preparing correspondence and managing filing systems and records may be preferred.
  • Preference may be given to applicants with experience working in emergency response within the Incident Command Structure Environment (ICS).
  • The candidate must be located in British Columbia at the time of employment.
