Job Description

  • The candidate will be responsible for receiving applications related to resource authorizations, including licences, permits and leases, and preparing the required legal documents for issuance based on instructions provided by authorizations staff.
  • The candidate will be responsible for providing advice and guidance to resource officers, licensees and clients regarding tenure administration procedures, finance deposits, fees and annual rent billings.
  • The candidate will be responsible for verifying and confirming the legal identity, status and financial standing of licensees and permittees prior to document issuance, transfers, extensions, amendments, deletions, renewals and determinations.
  • The candidate will be responsible for providing quality assurance for documents by ensuring all legal and document policy requirements are met.
  • The candidate will be responsible for the procedural administration of resource tenures, including issuance, transfers, extensions, amendments, deletions, postponements, surrenders, closures, replacements, renewals and determinations.
  • The candidate will be responsible for calculating and processing authorization payments, fees, bids, securities and other monetary instruments related to resource tenures in an accurate and timely manner.
  • The candidate will be responsible for recording and maintaining detailed documentation of money received within tracking systems and databases, including FTA.
  • The candidate will be responsible for preparing documents required for the release of security deposits related to resource tenure deletion.
  • The candidate will be responsible for preparing and generating monthly and annual rental billings for holders of licences, permits and leases based on direction from authorizations staff.
  • The candidate will be responsible for communicating with clients regarding procedural aspects of tenure and authorization administration in person, by telephone and through correspondence.
  • The candidate will be responsible for working with Authorizations staff to establish and maintain work procedures and processes.
  • The candidate will be responsible for providing advice to Authorizations staff and resolving issues related to tenure and authorization administration procedures and correspondence.
  • The candidate will be responsible for entering data and maintaining the accuracy and integrity of multiple databases, including Client, FTA, ATS and other office-specific databases.
  • The candidate will be responsible for conducting audits to determine the integrity and accuracy of database information accessed by office personnel and reporting findings to the District Manager.
  • The candidate will be responsible for conducting data searches and queries, compiling information from databases and providing reports to staff and clients.
  • The candidate will be responsible for assisting with administrative aspects of the consultation process, including communication preparation, distribution and database entry.
  • The candidate will be responsible for coordinating Invitation to Tender, Request for Proposal and Request for Quote processes, including advertising contracts and awards.
  • The candidate will be responsible for confirming that contracts and legal documents comply with applicable policies and legislation.
  • The candidate will be responsible for providing administrative support related to the planning, implementation, awarding and evaluation of contracts.
  • The candidate will be responsible for maintaining and updating contract records, status logs and tracking systems throughout the contract life-cycle.
  • The candidate will be responsible for ensuring expenditures are charged to the correct responsibility centre or project code and that appropriate approvals are obtained prior to payment release.
  • The candidate will be responsible for reconciling financial accruals in accordance with established financial procedures.
  • The candidate will be responsible for reviewing financial transactions and documentation to ensure accuracy and compliance with financial policies.
  • The candidate will be responsible for providing advice and guidance to program managers, contract managers, proponents and contractors regarding contract administration procedures and contract disbursements.
  • The candidate will be responsible for conducting tender openings while ensuring all required procedures are properly followed.
  • The candidate will be responsible for participating in projects and supporting related administrative activities.
  • The candidate will be responsible for providing general administrative support to the office, including records management and FrontCounter BC coverage.
  • The candidate will be responsible for overseeing facilities and fixed assets, including equipment and light vehicles, and ensuring scheduled maintenance is completed.
  • The candidate will be responsible for providing front counter services, including offering information and guidance on completing applications.

Job Requirements

  • The candidate must have completed secondary school graduation or possess an equivalent combination of education and training.
  • The candidate must have a minimum of two (2) years of experience providing clerical and administrative support within an office environment.
  • The candidate must have experience using Microsoft Word, Excel and Outlook.
  • Candidates with previous experience in forest tenure and resource road administration may be preferred.
  • Preference may be given to candidates with experience using and applying legislation, policies and procedures while providing services to the public.
  • The candidate must be located in British Columbia at the time of employment.
