Job Description

  • The candidate will be responsible for working at various workstations within the Records Support Clerk area, performing duties associated with each station, including switchboard, traffic, and scanning functions.
  • The candidate will be responsible for answering incoming telephone calls using modern switchboard equipment and handling a high volume of public inquiries.
  • The candidate must process initial police reports through the Records Management System and ensure accurate data entry.
  • The candidate must transcribe police reports, statements, and internal memos using an in-house dictation system. Transcriptions must be completed verbatim and may include sensitive or graphic content. Some work will be performed under urgent or priority timelines driven by legal or operational demands.
  • The candidate must transcribe verbatim interviews using electronic media such as DVD, CD, or digital files.
  • The candidate will be required to maintain records and filing systems in accordance with established procedures. Duties include gathering, routing, and filing a wide range of police and court documents, many of which are highly time-sensitive and critical to Records Section workflow. The role also includes central file repository support and twice-daily pickup and delivery of departmental mail.
  • The candidate will be required to perform daily data entry and input information into multiple databases, following established workflow procedures to support coordinated work with interdependent staff schedules.
  • The candidate will be required to operate police records computer systems, such as the Records Management System (RMS), to add, modify, validate, and retrieve information, including electronic document imaging and running reports and queries as needed.
  • The candidate will be required to deliver information to shift rotation staff through both verbal and written communication.
  • The candidate will be required to apply relevant sections of Federal, Provincial, and Municipal statutes, regulations, bylaws, and departmental policies.
  • The candidate will be required to maintain a high level of confidentiality and security of information at all times.
  • The candidate will be required to perform other related duties as assigned.

Job Requirements

  • The candidate must have completed Grade 12, including courses related to office administration.
  • The candidate must have at least one year of experience in office or business administration.
  • The candidate must have some related experience working in a police environment.
  • The candidate must be proficient in MS Office Suite, including word processing, spreadsheets, email systems, and database applications.
  • The candidate with an equivalent combination of education and experience may also be considered.
  • The candidate must have a keyboarding speed of at least 55 words per minute.

  • The candidate will be required to obtain and maintain enhanced reliability security clearance.

Work conditions and physical capabilities

  • The candidate will not be required to perform any physical activity as part of the role.
  • The candidate will be required to work in an office environment that operates 24 hours a day on a three-shift system throughout the year.
  • The candidate will be required to work on statutory holidays when scheduled.
