Job Description
- The candidate will be responsible for supervising multiple staff members by assigning work, developing and evaluating performance plans, and approving leave requests.
- The candidate will be responsible for managing the development, implementation, and ongoing updates of the branch’s administrative framework to ensure the full range of administrative services is provided to program staff while offering guidance and resolving administrative issues.
- The candidate will participate in budget development by reviewing previous years’ expenditures, forecasting future program and project requirements, assessing the impact on the administrative budget, and recommending budget requirements and expenditures for salaries, travel, training, office supplies, and equipment.
- The candidate will lead the branch’s financial activities, including budgeting, contract administration, accounts payable, and purchasing, while ensuring compliance with financial administration and purchasing policies and procedures and maintaining branch financial tracking systems and files.
- The candidate will be responsible for managing all branch records and documentation by establishing, maintaining, and administering an ARCS/ORCS records management system, including the storage, retrieval, and destruction of records.
- The candidate will serve as the branch’s primary administrative resource for human resources, payroll, and leave management by consulting with the appropriate agency, such as the BC Public Service Agency, submitting required documentation, and verifying information in Time on Line or CHIPS.
- The candidate will determine the need for furniture, equipment, and telecommunications products, recommend purchases, and coordinate the installation of personal computers, software, telephones, faxes, and related equipment.
- The candidate will monitor inventory levels of supplies, equipment, and furniture, place orders as required, coordinate office relocations, and work with facilities management staff on space planning, building maintenance services, and accommodation requirements.
- The candidate must act as the branch’s systems contact by managing user access requests, assigning user IDs, and resolving routine system issues.
- The candidate will oversee the preparation of reports, spreadsheets, briefing notes, and other documents using Microsoft Word, Excel, PowerPoint, and Outlook, and will draft responses to routine correspondence.
Job Requirements
- The candidate must have a certificate or coursework in business or office administration and at least one year of related experience.
- The candidate must have Secondary School graduation (Dogwood or GED) and at least two years of related experience.
- The candidate must hold an Evergreen credential and have three years of related work experience.
- The candidate will be considered if they have an equivalent combination of education and relevant experience.
- The candidate must have experience providing administrative and financial support services for a group of staff.
- The candidate must have experience leading others.
- Preference may be given to candidates with experience using Integrated Case Management (ICM) and/or Management Information Systems (MIS) computer applications.
- Preference may be given to candidates with experience providing administrative support to vulnerable children and families in a human or social services setting.
- Preference may be given to candidates with at least six months of financial experience and/or training.
- The candidate must be located in British Columbia at the time of employment.
