Job Description
- The candidate will be responsible for demonstrating strong business acumen, professionalism, and maturity while performing role responsibilities.
- The candidate will be responsible for collaborating and communicating daily with the Executive Assistant (EA) team to support effective coordination.
- The candidate will be responsible for managing the Executive’s calendar and contacts while overseeing email management, prioritizing time-sensitive messages, and maintaining organized email files within assigned authority.
- The candidate will be responsible for coordinating meetings by preparing invitations and agendas, booking meeting spaces, and arranging required technology resources and refreshments.
- The candidate will be responsible for establishing work priorities and assigning tasks to department staff within the scope of delegated authority.
- The candidate will be responsible for acting as a communication liaison between the department and EA team to support effective information flow.
- The candidate will be responsible for preparing briefing notes, meeting minutes, and supporting documentation as required.
- The candidate will be responsible for preparing and providing Executives with required documentation to support meetings, business discussions, and correspondence.
- The candidate will be responsible for delegating assigned action items and following up on progress to ensure completion within their area of responsibility.
- The candidate will be responsible for maintaining confidential business, team, and leadership information while ensuring it is handled with discretion and care.
- The candidate will be responsible for coordinating C-Suite level travel, including complex multi-leg itineraries, frequent changes, and rescheduling requirements in collaboration with Executive Assistants and according to senior executive travel plans.
- The candidate will be responsible for managing accurate and timely financial activities, including executive expenses, purchase orders, invoice payments, department expense approvals, and employee expense claim reviews to ensure accuracy and compliance with policies on behalf of executives.
- The candidate will be responsible for operating with an Executive partnership mindset by proactively supporting business planning activities and strategic priorities.
- The candidate will be responsible for supporting department space planning requirements to accommodate organizational growth and changing business needs.
- The candidate will be responsible for managing and completing special projects assigned by the Executive to support business priorities.
- The candidate must collaborate with P&C to manage and coordinate the onboarding of new Senior Executives and Leadership Team members.
Job Requirements
- The candidate must have 7+ years of experience or equivalent experience in an administrative or executive support role with progressively increasing responsibilities.
- The candidate must demonstrate strong business acumen and the ability to apply tact, sound judgment, and effective prioritization when managing responsibilities.
- The candidate must maintain the highest level of confidentiality when handling sensitive business, team, and leadership information.
- The candidate must demonstrate advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- The candidate must be able to work effectively in a fast-paced environment while managing changing priorities and deadlines.
- The candidate must have experience working within a publicly traded company.
