Job Description
- The candidate will be responsible for reading, reviewing, validating, and processing all court-related case files to maintain data quality and control RTCC processes for accuracy and completeness until final disposition.
- The candidate will be responsible for reviewing and processing court-related documents, including those returned from court or Crown, and updating files for follow-up and Criminal Code charge dispositions.
- The candidate will be required to work closely with internal and external stakeholders, including police agencies, ensuring information accuracy, confidentiality, and effective communication.
- The candidate will be responsible for solving problems independently and referring matters to the appropriate person when required.
- The candidate will be responsible for reviewing files that may contain graphic, gruesome, and disturbing content.
- The candidate will be responsible for confirming charges and submitting all RTCC through RMS and JUSTIN systems before attending court.
- The candidate will be responsible for processing and submitting reports, Crown memos, and court documents to Crown Counsel, Justices of the Peace, and Court Administration.
- The candidate will be responsible for attending Counsel Chambers for the swearing of Informations as required.
- The candidate will be responsible for performing courier duties between Courts, Crown Counsel, Motor Vehicle Branch, John Howard Society, Community Corrections, and other police departments, including delivery of bail funds and transport of exhibits to the Exhibit Custodian while maintaining evidence continuity.
- The candidate will be responsible for working with Probation to track and maintain a high volume of probation charges through to disposition.
- The candidate will be responsible for running the court docket in the JUSTIN system and updating PRIME RMS and Court Folder with new court information and proceedings until disposition.
- The candidate will be responsible for managing Criminal Fingerprint Forms through to disposition and submitting them to the RCMP in Ottawa or other agencies using federal booking systems and CJIM.
- The candidate will be responsible for maintaining workflow to ensure court paperwork is completed and processed, including responding to Crown Counsel Memos within required timelines.
- The candidate will be responsible for communicating and resolving inconsistencies in information received from outside agencies.
- The candidate will be responsible for receiving DNA Orders and liaising with Forensic Identification Staff to ensure proper processing and return to requesting agencies.
- The candidate will be responsible for completing the purging or sealing of young offender files as required.
- The candidate will be responsible for validating, auditing, and purging C.P.I.C. entries and processing warrant recalls and returns as requested by Crown Counsel or members, including removal of warrants from C.P.I.C.
- The candidate will be responsible for attending and participating in meetings with federal, provincial, regional, and local agencies, including Court, Crown Counsel, and police agencies, to ensure standard processes are followed.
- The candidate will be responsible for advising the Manager of Administration Services, NCOs, or Division Inspector on all matters related to Court Administration, Crown Counsel, and Witness Management.
- The candidate will be responsible for undertaking task-specific training, general skills development, and computer system upgrades.
- The candidate will be responsible for applying relevant sections of federal, provincial, municipal statutes, regulations, bylaws, and departmental policies and procedures accurately.
- The candidate will be responsible for maintaining strict confidentiality and security of information in all work activities.
- The candidate will be responsible for performing other related duties as required.
Job Requirements
- The candidate must have Grade 12 or equivalent, along with up to one year of full-time post-secondary education in a related field.
- The candidate must have two years of related experience in police records, court management, or a related legal and office environment.
- The candidate must have one year of experience and proficiency in inquiry, maintenance, and audit functions of police systems including C.P.I.C., PRIME-RMS, Court, JUSTIN, CJIM, CORNET, and National Fingerprint Booking Systems.
- The candidate must complete or already possess a recognized C.P.I.C. training program.
- The candidate with an equivalent combination of education and experience may also be considered.
- The candidate must be proficient in MS Office Suite, including word processing, spreadsheets, email systems, and database applications.
- The candidate must hold Special Municipal Constable status and adhere to the Oath of Allegiance and Oath of Office under the Police Act of B.C.
- The candidate must possess a valid Class 5 BC Driverโs Licence.

- The candidate must pass and maintain an enhanced reliability security clearance, including a polygraph test.
Work conditions and physical capabilities
- The candidate must travel daily to Provincial Court Services buildings and ensure timely delivery of documents and mail to assigned facilities.
- The candidate must work primarily in a police office setting and deliver courier services across multiple locations within the Capital Region.
