Job Description

  • The candidate will be responsible for typing confidential correspondence and reports for 8 excluded managers.
  • The candidate will draft routine correspondence and acknowledgements and may sign documents on behalf of the ADW of Staffing, Programs, Standards, or Regulations.
  • The candidate will create, maintain, and coordinate systems for Labour Relations documentation, including staff grievances, while ensuring compliance with mandatory timelines.
  • The candidate will communicate with the ADW Staffing regarding staff training to ensure timely delivery and maintain related spreadsheets.
  • The candidate will coordinate with the Shift Scheduler, Justice Institute, and other parties to arrange staff training sessions.
  • The candidate will handle confidential and sensitive information and documentation, including staff discipline letters.
  • The candidate will maintain confidential personnel files.
  • The candidate will classify, maintain, archive, retrieve, and arrange for the disposal of records using ARCS/ORCS.
  • The candidate will create electronic files and perform data entry into locally restricted-access logs, databases, and secure online Public Safety systems such as CORNET and RISC.
  • The candidate will respond to routine inquiries and provide general assistance to the public, institutional staff, government agencies, contractors, and professionals in accordance with Correctional Centre Rules and Regulations.
  • The candidate will assist with switchboard coverage by directing incoming calls, taking messages for staff and contractors, signing in visitors, and processing incoming and outgoing mail.
  • The candidate will update and maintain staff lists, telephone directories, and databases as required.
  • The candidate will file and retrieve paper and electronic documents and records.
  • The candidate will create forms for access through the centre website as directed using various software applications.
  • The candidate will coordinate and compile agenda items, distribute materials to members, and record minutes for OHS and 3.2 Committee meetings.
  • The candidate will compile information and record minutes for staff meetings and Staff Recognition projects.
  • The candidate will assist Wardens, Supervisors, and senior staff with special projects as required.
  • The candidate will perform clerical duties, including the distribution of faxes and print jobs, photocopying, receiving monies for Inmate Accounts, and providing software support services.
  • The candidate will perform the responsibilities of the Administration Supervisor during temporary absences.
  • The candidate will provide backfill support for receptionist positions as required.

Job Requirements

  • The candidate must have completed Grade 12 or an equivalent qualification.
  • The candidate must have a minimum of 2 years of experience within the last 5 years providing administrative support to management.
  • The candidate must have experience working with diverse work teams.
  • The candidate must have experience using MS Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • The candidate must demonstrate a keyboarding speed of at least 50 words per minute (WPM).
  • Preference may be given to candidates with administrative support experience in a Correctional facility.
  • Preference may be given to candidates with experience using the Records Management System ARCS/ORCS.
  • Preference may be given to candidates with experience using CORNET and/or RISC database systems.
  • The candidate must be located in British Columbia at the time of employment.
