Job Description
Providing reception, telephone and front-line client services.
- The candidate will be responsible for providing resource information to the general public.
- The candidate must greet and assist clients who are accused or convicted of criminal or other offences, including individuals who may be intoxicated, experiencing mental health needs, infectious, hostile, or potentially violent.
- The candidate must alert staff to unusual, sensitive, or potentially dangerous situations.
- The candidate will be responsible for obtaining and confirming identification and personal information from clients.
- The candidate will be responsible for notifying the appropriate staff of client and/or visitor arrivals.
- The candidate must receive and redirect telephone calls and voicemails.
- The candidate must monitor the reception email and shared office calendars.
Entering, updating and maintaining client information on the Corrections Branch electronic information system (CORNET).
- The candidate must search CORNET for Client Services (CS) numbers and assign CS numbers if required.
- The candidate must search CORNET for order details.
- The candidate must contact the Operational Support Unit (OSU) when required.
- The candidate must maintain the Pending Arrivals slate, retrieve electronic Court documents, and request documentation from the court registry as required.
- The candidate must manually enter police documents and out-of-province orders.
- The candidate must enter order variations.
- The candidate must enter report assignments in CORNET.
- The candidate will be responsible for admitting clients as required.
- The candidate must update client personal information.
- The candidate must take client photos and capture biometrics as required.
- The candidate must generate electronic client referrals.
- The candidate must transfer physical and electronic files.
- The candidate must print and distribute monthly statistical and workload summary reports as required.
Accessing and Processing information in JUSTIN
- The candidate must search for client court information as required.
- The candidate must check and forward messages from the Communications Basket and Incoming Documents.
- The candidate will be responsible for downloading Report to Crown Counsel (RTCC).
- The candidate will be responsible for checking daily for Alternative Measures Report referrals and processing them accordingly.
Providing office support services.
- The candidate will be responsible for managing sensitive and confidential materials, including victim information.
- The candidate will be responsible for modifying specialized forms, form letters, and related materials.
- The candidate will be responsible for formatting letters, memoranda, and minutes, proofreading documents, and correcting errors.
- The candidate will be responsible for completing photocopying tasks.
- The candidate will be responsible for sending and receiving electronic facsimiles.
- The candidate will be responsible for opening, date stamping, and distributing incoming mail.
- The candidate will be responsible for addressing and packaging outgoing mail according to postal service standards and arranging courier services as necessary.
- The candidate will be responsible for keeping office equipment in functioning order and arranging necessary repairs when required.
- The candidate will be responsible for assisting with computer, office equipment, and vehicle asset management and inventory.
- The candidate will be responsible for acting as the alternate contact for facilities and equipment issues (e.g., MFD’s, CBRE) and resolving problems.
- The candidate will be responsible for monitoring the safe return of staff on home visits and reporting overdue returns according to the safe return policy.
- The candidate must perform other administrative assistant duties as required.
Maintaining ORCS and ARCS filing systems.
- The candidate will be responsible for creating and coding ARCS files.
- The candidate must create and maintain client files according to standards.
- The candidate must ensure file locations are correct in CORNET.
- The candidate must arrange for file storage and/or disposal and retrieve files from offsite storage.
Job Requirements
- The candidate must have Secondary School graduation and six (6) months of related experience working in a clerical, secretarial, receptionist, or administrative support role.
- The candidate will be considered if they have an equivalent combination of education and experience.
- The candidate must have a minimum keyboard speed of 30 words per minute.
- Preference may be given to candidates with more than six months of related experience working in a clerical, secretarial, receptionist, or administrative support role.
- Preference may be given to candidates who have completed a post-secondary certificate, program, or course in office administration.
- Preference may be given to candidates with experience working in an office setting providing services within the Justice System, including Court Services, Correctional Centre, BC Prosecution Services, Youth Justice, legal office, or justice-focused non-profit organizations.
- Preference may be given to candidates with a valid Class 5 B.C. driver’s license without restrictions or an equivalent Canadian driver’s license; a valid BC Class 7 may also be considered.
- The candidate must be located in British Columbia at the time of employment.
