Job Description

  • The candidate will be responsible for processing accounting, financial, vehicle use, and other business performance documentation, including reconciling project and work management reports, preparing cost control reports, drafting narratives on significant variances, preparing cost, project, work performance, and vehicle use tracking statements, reports, and summaries, and making recommendations to the manager based on findings.
  • The candidate will be responsible for participating in the planning, scheduling, coordination, and organization of office accommodations and employee moves. The role may include arranging phone and office equipment relocations and acting as a liaison with contractors or others to address building facility issues such as HVAC, building security systems, and janitorial concerns.
  • The candidate will be responsible for providing work leadership and coordinating the activities of lower-level Field Service Administrators and other staff as required.
  • The candidate will be responsible for investigating and resolving escalated problems and issues referred by lower-level Field Service Administrators (FSA) and other staff.
  • The candidate will be responsible for performing all functions associated with the Field Services Administrator 1 and 2 roles as required.
  • The candidate will be responsible for performing minor duties related to the above responsibilities that do not affect the rating of the job.

Job Requirements

  • The candidate must have knowledge of supervisory skills, office procedures, practices, routines, filing systems, document processing, report formatting and preparation, personal computer operations, related application programs, reception duties, and telephone answering techniques. These skills are typically acquired through high school graduation, completion of Overview of Electrical Utility Operations offered through EITI or an equivalent institution, and BC Hydro in-house courses or equivalent training in supervisory skills, computer applications, and related systems.
  • The candidate must have knowledge of personal computer applications, including word processing, spreadsheet, presentation, and database programs, as well as BC Hydro systems such as PeopleSoft Financials, Expenses, Passport Management, Design, Contract Requisition, Click Schedule, basic DAD, Power ON, Service Link, BPR, Gateway Web, CCS, MS Projects, ISS/Work Management, Resources on Demand, reporting systems, maintenance tracking systems, internet browsers, email, messaging, and related security systems.
  • The candidate must have a minimum of one (1) year of general clerical and administrative experience as a Field Services Administrator 2 or two (2) years of equivalent experience in general clerical administration, including work order management, customer work management, dispatch, contract administration, materials issues management, time capture, billing and expenses, business and financial performance reporting, and demonstrated proficiency with personal computer operations.
  • The candidate must demonstrate satisfactory performance for approximately six (6) months to develop the required knowledge and skills needed to perform all job responsibilities.
  • The candidate with previous supervisory experience will be considered an asset.
  • The candidate must possess well-developed oral, written, and interpersonal communication skills, along with strong organizational skills.
