Job Description
- The candidate will process accounting, financial, vehicle use, and other business performance documentation, including reconciling project or work management reports, preparing cost control reports with narratives on significant variances, and preparing cost, project, work performance, and vehicle use tracking reports and summaries, and will make recommendations to the manager based on findings.
- The candidate may be required to participate in the planning, scheduling, coordination, and organization of office accommodations and employee moves, arrange phone and office equipment relocations, and act as a liaison with contractors to address facility issues such as HVAC, building security systems, and janitorial services.
- The candidate may be required to provide work leadership and coordination of lower-level Field Service Administrators and other staff, and investigate and resolve escalated problems and issues referred from lower-level FSA and other staff.
- The candidate will perform all functions of Field Services Administrator 1 and 2 roles as required.
- The candidate will perform minor duties related to the above responsibilities that do not affect the job rating.
Job Requirements
- The candidate should have supervisory skills, office procedures, practices, routines, filing systems, document processing, report formatting, and personal computer operation, typically acquired through High School graduation plus completion of the ‘Overview of Electrical Utility Operations’ (EITI or equivalent) and BC Hydro in-house training or equivalent covering supervisory skills, PC applications, and systems such as PeopleSoft Financials, Expenses, Passport Management, Design, Contract Requisition, Click Schedule, DAD, Power ON, Service Link, BPR, Gateway Web, CCS, MS Projects, ISS/Work Management, Resources on Demand, reporting, maintenance tracking, internet browsers, email, messaging, and security systems.
- The candidate must have a minimum of 1 year of general clerical and administrative experience as a Field Services Administrator 2, or 2 years of equivalent experience in general clerical administration along with work order management, customer work management, dispatch, contract administration, materials issues management, time capture, billing/expenses, and business and financial performance reporting, with demonstrated proficiency in PC operation.
- The candidate will require approximately six (6) additional months to fully acquire the knowledge and skills needed to perform the full scope of the job. Previous supervisory experience is considered an asset.
- The candidate must have well-developed oral, written, and interpersonal communication skills, along with strong organization skills.
