Job Description

  • The candidate must display strong business acumen and maturity in the role.
  • The candidate will be required to collaborate and communicate daily with the EA team.
  • The candidate must coordinate the Executive’s calendar and contacts and, within allowed authority, manage the Executive’s email by prioritizing time-sensitive emails and handling email file management.
  • The candidate must coordinate and send meeting invitations and agendas to attendees, book meeting rooms, and arrange tech resources and refreshments to support efficient meeting facilitation.
  • The candidate must establish work priorities and direct assignment of work to various department staff according to the scope of allowed authority.
  • The candidate must act as a communications liaison with the Department and the departmental EA Team as required.
  • The candidate must prepare briefing notes and minutes of meetings as required.
  • The candidate must provide executives with documentation needed for meetings and business correspondence.
  • The candidate must delegate and follow up on action items that fall within the realm of responsibility.
  • The candidate must maintain confidential information for the business, team, and leadership, ensuring all information is handled appropriately.
  • The candidate must coordinate C-Suite level travel, including complex multi-leg itineraries with frequent changes and rescheduling, in collaboration with the Executive Assistant team and aligned with the most Senior Executive travel plan.
  • The candidate must ensure accurate and timely financial management, including executive expenses, raising purchase orders, paying invoices in accordance with payment terms, approving department expenses, and reviewing employee expense claims for accuracy and policy adherence on behalf of the Executive.
  • The candidate must operate with an ‘Executive partnership’ mindset and drive proactive business planning.
  • The candidate must support space planning needs for department growth.
  • The candidate must support special projects as assigned by the executive.
  • The candidate will be required to collaborate with P&C to manage and oversee the onboarding of incoming Senior Executives and new members of their Leadership Team.

Job Requirements

  • The candidate must have 7+ years’ experience or equivalent in an administrative and/or executive support capacity with increasing responsibilities.
  • The candidate must demonstrate excellent business acumen and the ability to exercise tact, sound judgment, and prioritization.
  • The candidate must be able to observe and maintain the utmost confidentiality.
  • The candidate must have advanced-level proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • The candidate must be able to work in a fast-paced environment.
  • The candidate must have experience working with a publicly traded company.
