Job Description

  • The candidate must demonstrate strong business acumen and professional maturity in the role.
  • The candidate will be responsible for maintaining daily collaboration and communication with the Executive Assistant team.
  • The candidate will be responsible for coordinating the Executive’s calendar and contacts and, according to the assigned authority, managing the Executive’s email, prioritizing urgent emails, and maintaining email file management.
  • The candidate will coordinate and send meeting invitations and agendas to attendees, book meeting rooms, and arrange technical resources and refreshments to support efficient meeting facilitation.
  • The candidate will establish work priorities and direct work assignments to department staff within the scope of the assigned authority.
  • The candidate will be responsible for serving as the communications liaison between the Department and the department Executive Assistant team as needed.
  • The candidate will be responsible for preparing briefing notes and recording meeting minutes as needed.
  • The candidate will be responsible for preparing and providing Executives with documentation needed for meetings and business correspondence.
  • The candidate will be responsible for assigning and monitoring action items within the scope of assigned responsibilities.
  • The candidate will maintain confidential information for the business, team, and leadership while ensuring all information is handled appropriately.
  • The candidate will be responsible for arranging C-Suite level travel and managing complex multi-leg itineraries that require frequent changes and rescheduling while working with the Executive Assistant team and following the most senior Executive travel plan.
  • The candidate will be responsible for accurate and timely financial management, including managing Executive expenses, raising purchase orders, processing invoice payments according to payment terms, approving department expenses, and reviewing employee expense claims for accuracy and policy compliance on behalf of the Executive.
  • The candidate will be responsible for maintaining an Executive partnership mindset while proactively supporting business planning initiatives.
  • The candidate will support space planning needs to accommodate department growth.
  • The candidate will manage special projects as assigned by the Executive.
  • The candidate will be responsible for collaborating with P&C to manage and oversee the onboarding process for incoming Senior Executives and new members of their Leadership Team.

Job Requirements

  • The candidate must have 7+ years of experience or equivalent experience providing administrative and executive support with increasing levels of responsibility.
  • The candidate must demonstrate strong business acumen and the ability to exercise tact, sound judgment, and effective prioritization.
  • The candidate must maintain the highest level of confidentiality and handle sensitive information with discretion.
  • The candidate must demonstrate advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • The candidate must be able to work effectively in a fast-paced environment while managing multiple priorities.
  • The candidate must have experience working with a publicly traded company.
  • The candidate must create and support an inclusive environment that values and celebrates differences.
