Job Description
- The candidate will recruit and supervise staff, including assigning work, developing and evaluating performance plans, providing training, and approving leave.
- The candidate will develop, implement, and update the administrative framework for the branch/team, ensuring full administrative services are provided within established standards and offering guidance on administrative issues.
- The candidate will oversee client and corporate financial activities, including budgets, medical invoices, contract administration, accounts payable, purchasing, credit cards, key control, and related functions, ensuring compliance with policies and procedures and maintaining financial tracking systems and files.
- The candidate will coordinate and oversee the management of all branch records and documentation and maintain the ARCS/ORCS records management system, including storage, retrieval, and destruction of records.
- The candidate will be required to prepare or supervise preparation of documents including reports, spreadsheets, presentations, and briefing notes, and maintain the branch intranet using Word, Excel, PowerPoint, Outlook, and SharePoint while drafting routine correspondence.
- The candidate will be required to track inventory of supplies, equipment, and furniture and ensure timely ordering when needed.
- The candidate will provide advice and support to staff and clients on procedures, policies, standards, and legislation, and respond to escalated client relations or operational issues to resolve matters outside program standards, goals, and objectives.
- The candidate will be required to coordinate with external partners and service providers to resolve issues and ensure effective program delivery.
- The candidate will be required to implement quality control systems, monitor performance, and take corrective action to address deficiencies.
- The candidate will be required to act as the branch administrative resource for HR, payroll, and leave management, including liaising with the BC Public Service Agency, processing paperwork, and verifying data in TLAM or CHIPS.
- The candidate will coordinate office moves and work with facilities management staff on space planning, building maintenance services, repair or purchase of furniture and equipment, telecommunication needs, and accommodation requirements.
- The candidate will be required to act as the branch systems contact, managing user access, issuing IDs, and handling routine troubleshooting.
- The candidate will perform other related duties as required.
Job Requirements
- The candidate will be required to have completed secondary school graduation or equivalent education.
- The candidate must have extensive experience working directly with the public in person or over the phone.
- The candidate must have four years of clerical experience, education and/or training, preferably in a legal environment or equivalent.
- The candidate must demonstrate team leadership experience, including initiative in resolving issues and improving processes.
- An equivalent combination of education, training, and experience may be considered.
- Candidates who self-identify as First Nations, Métis, or Inuit may be given preference.
- Preference may be given to candidates who have post-secondary education or certification in office administration.
- Preference may be given to candidates who have a minimum of two years’ supervisory experience.
- The candidate must be located in British Columbia at the time of employment.
