Job Description

  • The candidate will be responsible for coordinating calendars, maintaining meeting minutes and action items, preparing presentations, managing meeting and conference call logistics, handling confidential correspondence, arranging travel plans, maintaining files, and prioritizing and communicating deadlines and action items.
  • The candidate will be responsible for coordinating information flow between the Director, direct reports, and extended team, collaborating with the TDSO and Operations Leadership Teams and the Operations Executive Vice President’s Office, tracking outstanding action items, preparing reports, correspondence, agendas, and presentation materials, supporting event planning and logistics, and may also monitor and develop budgets and monthly variance analysis.
  • The candidate will be responsible for onboarding coordination for new hires, including safety orientation on the first day and submission of ServiceNow tickets for VPN/soft tokens and building and computer access.
  • The candidate must have knowledge of SAP to support the Director and direct reports with time and labour tracking, management reporting, materials and services requests and approvals, and online expense procedures.
  • The candidate will collaborate with other administrative assistants within Operations to provide assistance and support as needed.
  • The candidate will manage TDSO SharePoint updates, including site layout and compliance, and may be required to use web authoring skills to maintain and update the team web page.
  • The candidate will maintain the departmental organizational chart, keep contact lists up to date, and manage the Director’s email distribution list shared with the VP’s offices.
  • The candidate will be responsible for managing safety and mandatory training for the team, including QLMS reporting and tracking compliance.

Job Requirements

  • The candidate must have post-secondary education or equivalent.
  • The candidate may be considered if they have an equivalent combination of education, training, and experience.
  • The candidate must have 3 to 5 years of senior-level administrative experience or equivalent in a corporate environment handling diverse confidential administrative support duties.
  • The candidate must show initiative and a solution-focused approach to daily challenges.
  • The candidate must be able to maintain professional working relationships with the TDSO team, all levels of BC Hydro staff, and external organizations.
  • The candidate must be able to act independently with a high degree of judgment, discretion, and diplomacy, particularly when handling confidential or sensitive matters.
  • The candidate must possess superior oral and written communication skills and the ability to make sound decisions with minimal guidance based on established guidelines.
  • The candidate must demonstrate strong organizational and time management skills, with the ability to multitask, prioritize, and adapt to changing deadlines.
  • The candidate must demonstrate exceptional attention to detail.
  • The candidate must be highly proficient in MS Office applications, SharePoint, SAP (HR and Financial), web authoring tools, and file management systems.
