Job Description
- Under the supervision of the Purchasing Manager, the candidate will be responsible for issuing Purchase Orders for all required ingredients, packaging materials, and other products needed by various departments, as well as following up as needed to ensure compliance.
- The candidate must ensure that the goods are shipped on time and that all necessary logistics and customs documentation is complete and compliant.
- The candidate will be required to assist in the purchase of ingredients, packaging materials, and other items required for production and other services throughout the company.
- The candidate will be expected to interact with suppliers, establishing and maintaining cordial and professional relationships.
- The candidate will be required to validate sales confirmations, terms, delivery dates, and customs documentation, if applicable.
- The candidate will be expected to follow up with suppliers on outstanding purchase orders.
- The candidate will be responsible for updating item data, such as price lists and specifications.
- The candidate will be required to obtain and keep all documents and databases related to purchase categories.
- The candidate will be required to generate inventory reports for analysis.
- The candidate will be responsible for assisting with new project sourcing as well as coordinating sample receipt and categorization, among other duties.
- The candidate will be expected to assist the Purchasing Director and to fill in for him during his vacations.
- The candidate will be expected to ensure that his actions in his function support the manufacture of products that meet the company’s quality and food safety criteria.
- The candidate will be required to perform other related duties as assigned.
- The candidate will be expected to ensure compliance with the SQF food safety code requirements and to report any food safety issues to personnel authorised to intervene.
- The candidate will be expected to assist with negotiation strategies and make recommendations.
- The candidate will be expected to stay current on market/industry trends.
- The candidate will be expected to monitor stock levels and identify purchasing requirements.
- The candidate will be expected to keep current records of invoices and contracts.
- The candidate will be expected to receive orders, verify their accuracy and quality before confirming receipt, contact suppliers of incomplete deliveries, and follow up to verify / confirm future delivery expectations.
- The candidate will be required to compare product deliveries to issued purchase orders and contact vendors when there are discrepancies.
- The candidate must keep accurate records of all purchases made.
- The candidate will be required to create and maintain a food management database in order to keep accurate records of the feeding program’s inventory, purchases, and waste of food, beverages, and supplies.
Job Requirements
- The candidate should be fluent in English or French languages.
- The candidate should have a DEC in administration, preferably in procurement and purchasing.
- The ideal candidate will have at least two years of experience in purchasing, inventory control, management systems, and/or related fields.
- The candidate should be proficient in Microsoft Word, Windows Excel, Office and Outlook.
- Knowledge of ERP systems and/or inventory systems would be advantageous.
- The candidate should be a good team player with enough interpersonal and judge-mental skills.
