  • The candidate will be expected to provide senior level administrative support to the VPTL by maintaining and managing the VPTL’s complex schedule to maximise their time, screening, prioritising, and rearranging appointments, scheduling and deferring meetings, and referring requests to the Manager and others within the portfolio as appropriate.
  • The candidate will be expected to prioritise and expedite critical and sensitive matters based on in-depth knowledge of the VPTL and Provost’s Office priorities.
  • The candidate will be responsible for coordinating and preparing the VPTL’s briefing files for daily meetings, which will include background notes, biographical information, speaking notes, event schedules, and so on.
  • The candidate will be expected to create and maintain a tracking system to support the VPTL’s current and future priorities, ensuring that deadlines are met on time.
  • The candidate will be expected to act as the VPTL’s primary contact for meeting scheduling and to respond to inquiries on the VPTL’s behalf both internally and externally with limited direction.
  • The candidate will be expected to assist the Manager as needed in order to ensure the smooth operation of the VPTL team within the Provost’s Office.
  • The candidate must coordinate standing and ad hoc committees and working groups chaired by the VPTL. Compiling and distributing agendas, preparing meeting materials, recording/distributing minutes, and following up on action items are all responsibilities.
  • The candidate will be responsible for creating a positive, welcoming, and inclusive environment, as well as ensuring that all visitors to the office are treated professionally.
  • The candidate will be required to respond to or direct a wide range of inquiries relating to the office (via email, in-person, and phone) filtering and triaging messages and proactively informing the Manager, VPTL, or colleagues of potential actions, issues, and problems, providing suggested responses when appropriate.
  • The candidate must be well-versed in university policies and procedures, governance, and administrative structure.
  • The candidate will be responsible for coordinating administrative functions for the VPTL team, including invoice payment and procurement, in collaboration with the Administrative Assistant for Planning & Budgeting.
  • The candidate will be expected to support and promote a workplace culture of equity, diversity, inclusion, and Indigenization.
  • In order to support the portfolio, the candidate will be expected to take on additional responsibilities or unique projects.
